UWSOM Foundations Curriculum Onboarding Guide

Welcome to the University of Washington School of Medicine (UWSOM)! This guide will help you complete the necessary steps to get started with your teaching role in the Foundations Curriculum.

To get started, you’ll first need to establish a UW NetID. This will grant you access to your UW email, teaching tools, internet resources, UW library, and more. Most of this process will be done by the Program Operations Specialist at your site. However we have listed all of the steps below to help you identify any possible problems or delays in the process. Note that there are specific things for you to do in steps 1, 2 and 3.  You may find that some terms and abbreviations used below are unfamiliar to you. Please refer to the glossary for definitions.

First Steps

  1. Set-up In-Person Sponsored UW NetID (if you do not already have a UW NetID)

Action: Completed by Admin

Purpose: Establish your UW NetID (Note: This does not grant access to tools or systems yet).

Process: Admin will use the In-Person Sponsorship option.

Information Needed: Admin will obtain the following from your photo ID:

  • ID Number
  • Expiration Date
  • Full Legal Name
  • Date of Birth (DOB)

Important: If you already have a UW NetID from a previous affiliation, do not complete his step and notify admin. Unsure if you have a UW NetID? Call UW-IT at 206-221-5000 x1.

  1. Activate Your UW NetID for Office 365 and UW G Suite

Action: This step is mostly completed by Admin. You should accept the email notification for “Provisioning of Tools” when you receive it

Purpose: Grants you access to UW OneDrive, UW Google Drive, etc.

Your computing account allows access to:

    • Email
    • Countless Internet resources

Process: Other than as noted above, the step is completed by UW Staff, Foundations Dean, or faculty with a UW faculty appointment.

Tool: Provisioning Request Tool

Instructions: Refer to the “Provisioning Sponsored UW NetIDs” instructions.

  1. Submit UW Faculty Appointment Application (if appropriate)

Action: Completed by New Faculty Member

Purpose: Obtain a UW faculty appointment if you do not have one.

The following benefits are available to you as a clinical faculty member:

  • An account through UW Computing & Networking
  • Library privileges
  • Discounted membership at the UW Intramural Activities Center
  • Special pricing on computer merchandise at the UW Computer Center

Process: This can be initiated while your Sponsored NetID is being processed.

Department Handling: Appropriate UW department and tracked by the Regional Affairs office.

Action Required: Submit your CV to the relevant department as soon as possible.

 

  1. Connect Faculty Appointment to Sponsored UW NetID (if appropriate)

Action: Completed by Admin, nothing for you to do

Purpose: Ensure your faculty appointment is connected to your UW NetID.

Note: You don’t need to do anything, just be aware that sometimes this connection does not happen automatically. You may need to check with admin at your site to see if it’s been done.

Process: Direct user to add a new affiliation.

Instructions: Refer to “Connect Your UW Faculty Appointment” instructions.

 

  1. Submit Your Identity Information

Action: Completed by Admin, nothing for you to do.

Purpose: Ensure you have an identity record and unique SomID in the SoM Identity Management System (IDM).

Process: Admin will complete a UW SoM Identity Submission Form for you.

 

  1. Request Access to Teaching Technology: Canvas, Mediasite, Elentra, etc.

Action: Completed by Admin, nothing for you to do.

Purpose: Provide you access to tools and systems for teaching in the curriculum.

Process: Admin will:

  • Add you to the Course Information Worksheet.

Email som-course-info@uw.edu with information about what is added, retracted, revised, etc.

 

  1. Instructional System Access/Setup

Action: Completed by SOMALT (School of Medicine Academic and Learning Technologies). Nothing for you to do.

Purpose: Ensure you have access to necessary instructional events and systems.

Process: SOMALT and Curriculum staff will:

  • Set up your system access.
  • Add you to Elentra instructional events.
