Van Reservations
BELOW IS A SUGGESTED TIMELINE FOR VAN EVENTS
3-4 WEEKS PRIOR TO THE EVENT
- Submit Van use request form
- Review the list of stocked and supplemental van supplies.
- If you will need supplemental supplies, contact the Van Manager.
- Van Driver
- Complete University of Washington Driver Safety and Awareness Training
- Fill out the van driver survey
- (First-time events) Schedule a meeting with the Van Manager.
2-3 WEEKS PRIOR TO THE EVENT
- Student Event Lead

- View the Van Operations Tutorial videos.
- Review Mobile Van Manual as needed
- Van Driver
- Review Driving Instructions in this Manual
- Arrange a time to pick up van keys from South Campus Center (SCC – 1601 NE Columbia Rd) to pick up van keys on the day of the event or the day before the event. Will need to contact Yana Allen (yallen@uw.edu) or Ashley McPeek (mcpeekas@uw.edu) for directions on how to pick up keys.
- Recruit/train student volunteers and preceptor supervisors/provider volunteers
DAY OF EVENT
- Pick up van keys
- Arrive ~1.5 hours prior to the event (this will depend on set-up time/needs)
- There is a cart in SCC 311C for loading and unloading supplies.
- Review paperwork on the clipboard
- Inventory sheet
- Driver Instruction Packet
- Client Feedback Form
- Intake Form
- Referral form
- Sample Reflection Exercise
- Scope of Practice Instructions
- Incident Report Form
- Load additional supplies (if needed)
- Check to ensure the clean water jug is full and the dirty water jug is empty. If you need to refill/discard water, please go to SCC 123 (key included in the set of van keys).
AT THE EVENT
- Park the van in a well-lit and spacious location
- Review awning tutorial if planning to use at your event
- Discuss the goals of the event with the interprofessional team
- Create a safety plan in case of an emergency
- Make sure to follow up-to-date COVID-19 precautions
TIPS
- Be on time and consistent in where you park.
- Park the van in a central, visible location.
- Set up supply distribution tables and waiting area away from the door of the van to prevent crowding while clients wait to be seen.
- Provide hot water, hot chocolate, tea, instant coffee, and cider for clients while they wait.
- Put out only a few hygiene supplies/distribution materials at a time (restock throughout outreach, as needed)
POST-EVENT
- Clean and sanitize the van
- Remove all trash and biohazard bags. Replace bags. Trash can be sorted in SCC receptacles, biohazard bags should be deposited in SCC Storeroom in Biohazard Bag Box.
- Wipe down van surfaces with Purple Top wipes. Make sure to wear gloves when using these wipes.
- Return and plug-in van Battery in the SCC Storeroom.
- Return equipment and additional supplies to SCC Storeroom.
- If a tent was used and is wet, open it up halfway in the storeroom so that it can dry.
- Leave keys in SCC Storeroom and complete forms on the clipboard.
